SceneNote is operated by Visual Tone (Pty) Ltd, a company registered in South Africa, which is responsible for the personal information described below. Contact us at info@visual-tone.com.
If you hold an account: your email address, a display name if you set one, your projects and the storage they use, and a record of your subscription if you have one. We do not use passwords, and we never receive or store your card details.
If you sign in with Google: your email address and your Google account identifier. We receive nothing else, and no access to your Google Drive, files or contacts.
From anyone using a project, with or without an account: the display name you choose to type, and the notes, replies, drawings, poll answers and voice notes you leave. Voice notes are transcribed to text automatically.
From every visitor: IP address and browser information, used for ordinary web serving, security and abuse prevention.
Media: media you link from another service stays with that service; we store the link. Google Drive links are fetched through our servers so that they can play, and parts may be cached briefly. Media you upload is stored by us.
To provide and secure the service, to prevent abuse, to send you email about your projects and your billing, and to meet our legal obligations. Where we rely on your consent, such as optional notification email, you may withdraw it at any time.
We also record anonymous counts of product events, which contain no personal information.
We do not sell personal information, we do not use your content to train AI models, and we do not advertise.
We share personal information only with service providers who process it on our behalf, under contract and on our instructions, in these categories: hosting and storage, video encoding and delivery, email delivery, speech to text, payment processing, and product analytics. A current list of these providers is available on request from info@visual-tone.com.
If you choose to sign in with Google, Google processes that sign-in under its own privacy policy.
We may also disclose information where the law requires it, or to protect our rights or someone's safety.
Our providers operate in the European Union, the United Kingdom, South Africa and the United States. Where information is transferred across borders we rely on the safeguards permitted by applicable law, including standard contractual clauses.
Anyone holding a project link can open that project and leave feedback; if you set a password, the link alone is not enough. An owner link gives owner control to whoever holds it. We do not index or publish project content.
The owner of a project can see activity on their own project, including the display names people chose and when they took part.
We set one cookie, and only for signed-in account holders, to keep you signed in. Someone who only opens a project link is given no cookie. We use no advertising or tracking cookies.
We store small preferences, such as the name you last used, in your own browser. This remains on your device.
Where a project uses an embedded YouTube or Vimeo player, that player may set its own cookies, governed by their policies rather than ours.

Notes and feedback are kept for the life of the project and are not removed when media is.
You may request access to your personal information, correction, deletion, restriction or objection, and portability. You can export your data or delete your account yourself at any time from your settings, and turn notification email off there or from any such email. For anything else, write to info@visual-tone.com.
South African users may complain to the Information Regulator. Users in the European Union or the United Kingdom may complain to their local supervisory authority.
SceneNote is not directed at children. You must be at least 13 to use it and at least 18 to buy a subscription. If we learn that we hold personal information from a child under 13, we will delete it.
Information is encrypted in transit and at rest, and access to it is restricted. No service can guarantee perfect security. If a breach affects you, we will notify you as the law requires.
Changes are posted here with an updated date. If a change is significant we will tell account holders by email.
